This policy explains what personal data TenantCall — our virtual phone number service for private landlords, including tenancall.co.uk, the TenantCall web app, and the calling, voicemail, recording, transcription, and SMS features included in your account — collects, why, and what happens to it.
Who we are
TenantCall is operated by Destar Limited, a private limited company registered in England and Wales (company number 04019693), registered office Suite 2, 1 Kings Road, Crowthorne, Berkshire, England, RG45 7BF. Destar Limited is the data controller for the personal data described in this policy.
Information we collect
Landlord and property data
Submitting the "Get Started" form creates your TenantCall account and starts account setup, where we collect your account and contact details. Running your account also involves your properties' details and any tenant contact details you give us, such as a tenant's name and mobile number, so we can route calls and send SMS messages on your behalf.
Call and message content
Providing the service involves processing call recordings, AI-generated transcripts and summaries, voicemail audio, and the content and metadata (like sender, recipient, and timestamp) of SMS messages sent and received through your account.
Contact form
The contact form collects your email address and message so we can reply to your enquiry, and asks Cloudflare Turnstile (see below) to verify you're not a bot. Your submission is emailed to our support inbox and kept there for as long as needed to handle your enquiry — it is not stored in a database. Your IP address is processed briefly to enforce a rate limit and detect abuse; it is not logged alongside your email or message.
Analytics
We use Google Analytics 4 (GA4) to understand how visitors use this site — things like which pages are viewed and how visitors arrive here. GA4 sets cookies and collects your IP address and device/browser information. It does not have access to anything you type into the Get Started or contact forms, or to any account, call, or message data.
Cookies and similar technologies
- Google Analytics (GA4) — sets cookies to distinguish visitors and sessions. See Google's Privacy Policy.
- Cloudflare Turnstile — used only on the contact page to confirm submissions are human. It may process your IP address and browser signals; it does not use tracking cookies for advertising purposes. See Cloudflare's Privacy Policy.
You can block or delete cookies in your browser settings, or use a browser extension that opts you out of Google Analytics. Turnstile is required to submit the contact form, since it's how we keep that form free of spam.
Retention
We keep your account and property details, tenant contact details, recordings, voicemails, transcripts, and message history for as long as your account stays open. We may delete older recordings at our discretion — for example, to manage storage — even before your account is closed. Once your account is closed, this data is deleted and cannot be recovered.
Who we share your information with
We don't sell your personal data, and we don't share it for advertising. The outside parties who process personal data on our behalf are:
- AQL — our telephony and SMS provider. Calls to your virtual numbers and SMS messages sent from your account are carried over AQL's network.
- Anthropic — processes call and message transcript text to generate AI summaries and classifications. Call and voicemail transcription itself runs on our own infrastructure, not a third party.
- Google — processes analytics data as described above.
- Cloudflare — processes contact-form captcha verification data as described above.
Your rights
Under UK GDPR, you have the right to ask us what personal data we hold about you, to have it corrected or deleted, and to object to or restrict how we use it. This includes data held in your TenantCall account — such as recordings, transcripts, and tenant contact details — as well as anything you've sent through our contact form. Use the in-app contact feature to make a request about your account, or our contact form for anything else. You can also complain to the Information Commissioner's Office (ICO) if you believe we've mishandled your data.
Changes to this policy
If we change what we collect or why, we'll update this page and the "last updated" date above.
